The Office of Advancement is seeking a Coordinator to join our Principal Gifts team.

Reporting to the Associate Director of Principal Gifts, the Coordinator helps to ensure the integration of activities among the principal gifts team and campus partners. Working as part of a highly collaborative team, the incumbent will support all aspects of principal gift development activities with current and prospective donors including planning and scheduling meetings; preparing meeting itineraries and briefing packages for the President, Vice President (Advancement), and other senior leadership; and ensuring follow-ups arising from donor meetings are tracked and information is disseminated as required.

The successful candidate will have superior organization, time management, diplomacy, and communication skills.

Duties

  • Engages directly with donors, prospective donors or their designee to secure and schedule meetings for the president, vice-president, and others assigned to Principal Gift portfolios in a manner that cultivates and sustains positive relationships
  • Acts as Advancement’s first point of contact for campus partners requesting Presidential time for Advancement related activities
  • Collaborates with the Office of the President in coordinating the President’s Advancement calendar, travel and related briefings
  • Coordinates and produces correspondence with Principal Gift donors and potential donors
  • Exercises discretion, judgement, confidentiality and ensures that the Associate Vice-President and Principal Gifts team are kept fully informed with regard to emerging issues of importance
  • Collaborates with the Vice-President Advancement’s Executive Coordinator in coordinating and preparing the Vice-President for fundraising related activity
  • Monitors and tracks development activity, outcomes, next steps and action items to ensure timely decision making and future engagement
  • Ensures relevant information is captured in the university’s alumni and donor database of prospects, donors and alumni on Principal Gifts activity
  • Anticipates and conducts research in preparation of presidential and vice-presidential meetings to help ensure strategic engagement in the development of proposals
  • Conducts special research projects and responds to a wide variety of research requests
  • Acts in the full scope of the Vice-President’s Executive Coordinator’s duties, during the Executive Coordinator’s leaves of absence

Qualifications

  • Minimum of a Bachelor’s degree in business, library and information sciences, public administration, communications or a related area
  • Minimum 2 years of directly related experience is required, preferably in a fundraising or post-secondary educational setting
  • Computer proficiency in MS Office (Word, Excel, PowerPoint) and Google applications
  • Experience in a position that requires independent planning and efficient use of time
  • Ability to establish and maintain effective working relationships on and off campus
  • Demonstrated commitment to providing client-focused service and handling confidential information with discretion
  • Ability to manage conflicting priorities with tight timelines in a fast-paced environment
  • Problem solving and critical thinking skills
  • High level of accuracy and attention to detail with a commitment to professional excellence
  • Familiarity with the University of Alberta, its governing system and academic/research programs is preferred
