Reporting to the Assistant Dean, Administration, the Facilities Administrator is responsible for facilities management, space planning and allocation, resource and records management for the Faculty. The position also reconciles financial transactions and assists in the preparation of ad hoc reports. The Facilities Administrator accommodates the space needs of 46 tenure-track faculty, 44 faculty lecturers, approximately 100 sessional instructors, and approximately 40 support staff for the Edmonton Clinic Health Academy, University Terrace, and Clinical Sciences locations. The incumbent is expected to use professional judgment and have excellent communication skills. 

Duties

  • Liaises with Facilities and Operations on behalf of the Faculty
  • Identifies space requirements and facilities enhancements
  • Processes maintenance calls received from Faculty Services re deficiencies and issues, and make recommendations for required maintenance and repairs
  • Arranges requisition contractors and coordinates repairs to ensure timelines and quality of work
  • Ensures signage is current and accurate in all Faculty areas
  • Manages OneCard after-hours access and coordinates the Faculty Fire Wardens program
  • Communicates relevant facilities and operations information to ensure all staff are informed of activities that may affect them
  • Maintains accurate space records and inventories to facilitate efficient space planning and management
  • Plans office moves for staff, arranges for interim locations as required
  • Maintains inventory of furniture configurations for all Faculty space
  • Determines telephone requirements and arrange for installation
  • Applies approved retention schedules to Faculty records, disposing of those authorized for disposal and transferring those designated for permanent retention to the University Archives
  • Reviews of travel and expense claims to ensure accuracy and completeness of required information and supporting documentation
  • Reconciles monthly PeopleSoft financial reports against source documents; ensures expenditures are posted to the correct accounts and investigates incorrect entries
  • Processes invoices and ensures proper approvals and validity of speedcodes/accounts
  • Reconciles cash, cheques and credit card deposits
  • Reconciles invoices for telecommunications, work requisitions, and corporate credit card
  • Assists in the preparation of ad hoc financial reports as requested by management or operational areas

Qualifications

  • Minimum certificate in a related office administration field; undergraduate degree preferred; equivalent combinations of education and experience will be considered
  • Minimum 5 years work experience in a post-secondary institution
  • Computer proficiency in a Windows environment using MS Office applications, email and the internet
  • Strong communication (verbal and written) skills
  • Strong negotiation skills with the ability to determine common interests
  • Strong organizational skills with a high level of accuracy and attention to detail
  • Ability to make timely decisions and act on individual initiative
  • Demonstrated competencies in the areas of: professionalism, results orientation, organizational understanding, teamwork, and flexibility/adaptability
  • Lifting to a maximum of 50 lbs
