The University of Alberta Libraries seeks an Assistant Supervisor with an excellent knowledge of academic library acquisitions practices, an excellent customer service orientation, and strong ability to problem solve in a technological environment. The successful candidate thrives in a dynamic work environment that is highly dependent on teamwork, and has the ability to lead a team of three Acquisition & Collection Support Assistants. The position contributes to the overall success of the Collection Strategies Unit by overseeing the smooth operation of subscriptions, and managing the data required for evidence based decision making.  

Duties

  • Supervises day-to-day operations and workflows for system-wide ordering of subscriptions (print serials and electronic products such as journals, databases, ebook packages) and the ongoing maintenance of those orders 
  • Monitors operations, handles complex problem solving relating to order placement, invoice processing, PeopleSoft records and prepares procedural documentation
  • Contributes to the evaluation and assessment of the Libraries’ collections by ensuring data from the various vendors that the Libraries purchase content from is collected and available for librarian use in making decisions, including usage and financial data
  • Recruits and supervises staff, including monitoring and evaluation of performance and preparation of appraisals
  • Organizes workflows, develops task schedules, establishes work priorities
  • Monitors records and operations, assessing quality, system problems, and workflow, and deals with reported errors
  • Plans and organizes projects, e.g. serials cancellations, vendor consolidation, data conversion and cleanup
  • Acts as the main Library resource person for serials acquisitions and PeopleSoft for managing the Libraries’ subscriptions.
  • Assists the Associate University Librarian with the overall administration of the unit, and provides input to the development of policies and procedures
  • Acts as the main day-to-day contact with the Libraries’ serials agent

Qualifications

  • Minimum of a post-secondary diploma; Library and Information Technology Diploma preferred; equivalent combinations of education and experience will be considered
  • 2 years of related library experience
  • An excellent knowledge of the scholarly publishing industry and library acquisitions practices
  • Computer proficiency using desktop software (e.g. MS Office – Word, Excel, Access) and web-based services (e.g. Gmail, Google Drive), internet and database search techniques, the Libraries’ ILS system, and demonstrated aptitude for working in an electronic environment
  • Knowledge of PeopleSoft Financials would be an asset
  • Highly developed written, verbal and technical skills; the ability to clearly describe complex situations is essential
