The Department of Mechanical Engineering (referred to as MEC E) is seeking a forward thinking, organized, and ambitious leader to fill the role of Manager, Department Administration (MDA).  Within this high profile department, you will manage financial and human resources, graduate student services, and systems.  As a leader, you will implement, coach, and support a culture of trust, effectiveness, and execution by building relationships within MEC E and bridging them with the Office of the Dean. 

We are looking for a confident strategic thinker who seeks to understand their clients and has the courage to build and deliver results.  As with many employers, we are working in a time where change is happening everywhere and need someone who has experience leading through change, who can understand and facilitate stakeholders' needs, and grow an effective high trust culture. 

As the MDA, you will be the primary contact providing daily management, guidance, and coaching in operational areas.  Specifically, you will:

  • As the most senior operational position in MEC E, contribute to the success of the Department Chair by collaborating, providing solid advice, leading operations, and supporting projects and initiatives
  • Cultivate a culture of trust, effectiveness, and execution
  • Seek efficiencies and improvements
  • Contribute to the departmental vision, values, and strategic plan, then implement strategies and provide progress reports on alignment and delivery
  • Create new departmental processes to support administrative areas working effectively with the Dean’s office
  • Lead and communicate these new processes to your team and throughout the department
  • Exercise a significant degree of analysis, decision-making, and problem solving
  • Collaborate with academic staff to support current and future program initiatives
  • Oversee financial plans, budgets, and forecasts. You will exercise internal control and have financial signing authority for operating, trust, and endowments funds.  You will also be involved with contract negotiations and provide honest consultation on financial status along with recommendations to mitigate unfavorable status and contribute to future success
  • In collaboration and alignment with the Office of the Dean, conduct full scope human resource management (recruitment, training and development, performance management, workplace wellness, and supervision of operational staff) 
  • Support the administration of undergraduate and graduate programs, including project support on initiatives, facilitating staffing appointments, and ensuring appropriate communication
  • Prepare and provide reports and guidance to the Office of the Dean and the Department Chair on emerging issues
  • Collaborate with the Office of the Dean on system requirements and needs, space management and communications initiatives, and other areas as required
  • Build respectful and meaningful relationships within the Department and Engineering Office of the Dean

Desired Skills and Expertise:

  • Completion of an undergraduate degree, preferably in business
  • Five to 10 years of relevant management experience, ideally in higher education
  • Solid leadership strength. Ability to build strong, trusting relationships across a range of stakeholders and contexts. Demonstrated proficiency in relational leadership, as well as the ability to lead through influence.
  • Ability to effectively organize priorities, manage time, problem solve, and work both independently and as part of a team.
  • Enthusiastic, resourceful, innovative and able to deal with ambiguity and tight deadlines, take the initiative and make authoritative decisions.
  • Track record of inspiring trust in working relationships, engaging with staff and fostering a collaborative approach based on trust, open communication, and opportunity.
  • Demonstrated proficiency in budgeting and financial management.
  • Project and event management and/or coordination experience at a senior or lead level.
  • Familiarity with FOIPP, risk management, and safety in the workplace.
  • Excellent communication skills (interpersonal, verbal, and written).
  • Advanced MS Office applications skills (Word, Excel, PowerPoint, Outlook, & Google apps).
  • Significant experience with PeopleSoft Campus Solutions, HCM, and Finance and UPlan an asset.

In accordance with the Administrative Professional Officer Agreement, this position offers a comprehensive benefits package, which can be viewed at Faculty & Staff Benefits and annual salary range between $61,802 to $103,002.
