Reporting to the Director of Hospitality Services (DHS) the Manager, Retail Food Services (MRFS) is accountable for overseeing the day to day operations of Dining Services and the identification, evaluation, and implementation of strategies to increase revenue, profitability, and customer satisfaction. The  Manager is responsible for managing the day to day operations of all Hospitality Services dining outlets, specifically HUB Mall, residential dining, all retail locations, KSR concessions both on North and South Campus, and all third-party vendors. This does not include dining outlets in the Student's Union Building as they are managed by the University of Alberta Students' Union.

The MRFSwill be responsible to ensure that sustainable practices are in place in all food and beverage areas managed by Hospitality Services, and work with the contracted providers to ensure that the same practices are in place in their areas. The MRFS is expected to interact with the Department of Sustainability to ensure compliance with the campus programming and guarantee that sustainable practices are embraced within all areas of their responsibility. The MRFS will ensure the establishment and execution of competitive service standards. The MRFS is highly skilled in collaborating with multiple groups and teams within the department and in the greater University community. MRFSis expected to have the foresight and ability to guide the development and delivery of catering, retail initiatives and residential dining. 

Duties and Responsibilities:

Role Accountabilities:

  • Accountable for overseeing the operations of the Hospitality Services many and varied food services operations (campus dining, residential dining, retail diningcatering, and vending)
  • Responsible for ensuring the food services providers upholds food safety for the University of Alberta Edmonton campuses
  • In collaboration with the Director, this position is responsible for establishing benchmarks and measures against performance for all Dining service units
  • In collaboration with the food services provider, the ADRFS is responsible for ensuring that the food service provider develops healthy and nutritional meal plans for Ancillary Services 2000 resident students
  • Responsible for ensuring that all certifications and training is current for all food services units, this involves checking that licenses and certifications are in place, along with all applicable documentation. This occurs on an annual basis
  • Responsible for responding to and resolving service complaints; responsible for following up with leaseholders to ensure that best practices and policies are being followed; escalated issues or complaints are resolved by this position. Works to resolve issues related to non-compliance and continuously manages this as needed
  • Responsible for developing the food truck program for the University Campus, including selecting and booking trucks and ensuring all foodservice regulations are met; this is a new program that the position would be responsible for developing and overseeing
  • Responsible for keeping well-informed on guidelines and government policies with regards to serving food and beverages and compliance to government food safety regulations; this would be completed in consulting with the Director and advising on potential risks
  • Responsible for keeping well-informed on food concepts and trends in the food industry Ensure that both North and South Campus, as well as Augustana Campus and Enterprise Square, Campus St. Jean, are all adhering to the Cold Beverage Agreement and Vending Agreements; this is completed by conducting audits to ensure compliance
  • Oversees dining services equipment and supply inventory system and determines when information needs to be flagged to the Director (i.e, where there is financial impact)
  • Handling sensitive and or confidential information, as it pertains to food services contracts across campus

HUB Mall Management:

  • The position is solely responsible for the successful operations and management of HUB Mall including vendor management (50+ vendors), as well as identifying growth potential opportunities, and developing strategic business strategies that are in line with financial goals and targets
  • Responsible for conducting research, developing and managing lease agreements, and responsible for complete oversight of vendors within HUB Mall 
  • This position will be responsible for participating in the development for RFP's as it relates to contract management oversight
  • Oversee all maintenance needs for HUB Mall, replacement requests are presented to the Director for final approval 
  • Assists with the administration of contracts and lease agreements associated with any third party retail contractors, and recommends changes to future agreements to the Director of Hospitality Services as part of related procurement and contract development processes

 Retail Operations Management:

Responsible for the management of multiple retail outlets, see below: 

  • Aramark Retail Vendors (examples include Starbucks, Tim Hortons, Panda 
  • Express, etc.) o HUB Mall Retail (food and other vendors)
  • Third Party Vendors managed by Hospitality Services (i.e. Remedy) 

Financial Responsibility:

  • This position is responsible for monitoring the financial performance of all Hospitality retail outlets including those in HUB Mall, along with other specific locations on campus; this process includes reviewing financial reports and presenting and analyzing findings to the Director
  • In collaboration with the Director, this position is responsible for creating a strategic plan that aligns with that of the Unit, this is based on financial impact and analysis, along with the needs of the University Campus 
  • Responsible for the development of strategic plans and the ownership of this process; consults with the Director for final approval
  • Involvement in budget planning and responsible for financial oversight to ensure the department is operating within its budget; will flag immediate concerns to the Director and work towards a resolution
  • in collaboration with the DHS, the MRFS monitors operational and financial results including budgets, inventory and food sales reports, labor reports, etc, and ensures that targets are being met
  • This position is responsible for verifying the accuracy of standard financial reports

 Human Resource Management:

  • Defines the duties and responsibilities of staff including defining hours of workthe schedules of work, and the methods and techniques of work
  • Determines work assignments for staff based on an understanding of needs, individual skills, project requirements, and availability of resources. 
  • Ensures work tasks are completed on schedule and standards and policies are followed by staff. Approves work of staff to ensure the quality of work
  • Hires F&O staff based on an assessment of candidates and understanding of the department's needs
  • In collaboration with the Director, discusses performance with employees to provide feedback and address performance-related issues as part of the employee development process 
  • Consults with HR when dealing with serious issues that affect employment relationships to staff by providing the necessary direction and training to complete department/project work, based on knowledge of department procedures and specialized expertise 
  • Resolves technical problems and staff-related issues that arise during department/project work on a timely basis, to ensure work can be completed with minimal delay 

Supervision and Leadership:

  • Meets regularly with the Director of Hospitality Services and contributes to the long-range planning and achievement of annual business objectives. 
  • • Support the RFP selection and implementation processes for service contracts
  • Meets regularly with multiple food and retail service providers to discuss and address issues of concern
  • Maintain the quality of the work environment by building and maintaining positive and supportive relationships with staff and colleagues, and for direct reports
  • In collaboration with the Director, ensures adherence to the University's policies in regards to the University's collective agreements, human resource policies, risk management, maintenance, safety, security, etc, and determines when there is a violation of any of the above policies
  • Responsible for accurate month-end reports to contribute to month-end reconciliation. Responsible to maintain and report on assigned operating budget & controllable expense 
  • Understand and remain current with internal and external regulations, policies and apply accordingly
  • Establish and maintain trust from others within and outside the area by acting ethically and respectfully 

 Qualifications:

  • Post-secondary degree in related areas (Business Administration, Hotel Management etc.) and or equivalent formal training in the provision of Hospitality Food and Beverage retail services or equivalent combination of education and experience
  • A minimum of five (5) years management experience in hospitality management and/or food and beverage retail business sectors with specific and increasing responsibilities in planning, operations, administration and budget management.
  • Experience in managing multiple units and negotiation and managing contracts
  • Excellent verbal and written communication skills and confidence dealing with all levels of an organization Demonstrated analytical ability with a working knowledge of accounting principles, revenue projections and financial statements
  • Positive, outgoing attitude with genuine customer service orientation
  • Excellent problem-solving and presentation skills.
  • Ability to manage conflicting and competing priorities and deadlines and understanding of food and beverage merchandising principles.
  • Ability to identify unit needs, recommend and assist in the planning of facility layout, floor plans and designs.
  • Excellence in customer service with the ability to coach and support team members to achieve a culture of excellence in customer service.
  • Strong conflict resolution skills
  • Proficiency with Microsoft Office suite, budgeting, and financial software, project management software.
