This position is located on the Augustana Campus, in Camrose, AB, with a desired start date of July 2018.

The Executive Assistant will serve as an integral member of the Dean’s Office by reporting to and providing key senior level administrative support for the Associate Dean (Academic) of the Augustana Faculty/Campus along with the Augustana leadership team.


  • Provides day-to-day comprehensive administrative support for Augustana Campus’s three Associate Deans, (meetings schedules, travel arrangements, document support, incoming and outgoing correspondence and telephone calls, etc.)
  • Liaises with a variety of administrative offices and students within the University, externally with other post-secondary institutions, and the general public
  • Responsible for correspondence with internal and external stakeholders, including submission of grant applications and award nominations
  • Deals with issues of highly confidential nature in a professional and discrete manner; proactively identifies potential issues and suggests responses
  • Manages the work related to administering the University of Alberta’s Code of Student Behaviour
  • Supports the Technology and Learning Services team with budget planning/analysis
  • Assists in the campus print shop, producing documents/course packs and large format print jobs
  • Acts as campus equipment/inventory coordinator, ensuring campus assets are appropriately tracked according to University policy
  • Performs other duties as required


  • Minimum post-secondary office administration diploma; undergraduate degree preferred
  • Minimum 3 to 5 years of related experience in a large/complex organization; preference given to experience in an academic setting
  • Computer proficiency using MS Office, Google Applications and scheduling software
  • Intermediate knowledge of MS Excel – comfortable in the use of advanced functions, sorting, summarizing data, pivot tables
  • Excellent communication and highly refined people skills with a proven ability to work with sensitive and confidential materials; excellent spelling, grammar, editorial and proofreading skills
  • Demonstrated tact and diplomacy; strong commitment to confidentiality and professionalism
  • Experience in managing busy calendars and using discretionary judgement dealing with conflicting priorities
  • Advanced time management and organizational skills with high attention to detail and accuracy
  • Flexibility and ability to take initiative and work without close supervision
  • Ability to learn and administer important University of Alberta policies and procedures
  • Some experience in the use of cloud based productivity suites and collaboration tools, such as Google Apps for Education
