U of A Protective Services (UAPS) is one of six operational units reporting to the AVP Risk Management Services.  The mission of UAPS is to provide a positive university environment for students, staff, faculty and visitors by the prevention, intervention, and response to risks and emerging issues around safety and security.

Reporting to the Director of Protective Services, the Department Administrator assists the Director and Manager in the operations of the office of Protective Services.

This position may require working extended hours in the event of a critical incident to support Director and Manager activities.


  • Assists in the operations of UAPS and provides day-to-day senior level administrative support to the Director and Manager relating to operations, key strategic initiatives, and special projects
  • Provides expertise to three divisional inspectors through coaching and training to ensure UAPS maintains compliance with standards
  • Maintains knowledge of IACLEA accreditation, certification and audit processes
  • Audits training records annually to ensure staff training is current and documented
  • Coordinates the release of directives and coordinates internal communications
  • Develops and manages file systems for Director and Manager and coaches all UAPS staff in the use of filing systems
  • Establishes retention schedules for UAPS records
  • Assists the Manager with processing UAPS records in accordance with FOIPP
  • Manages and coordinates schedules for the Director and Manager
  • Composes, types and edits correspondence, schedules, reports, presentations and other confidential material
  • Coordinates meetings and the preparation of monthly, quarterly and annual reports to partners and stakeholders
  • Acts as first point of contact for the Director
  • Receives and responds to a variety of incoming correspondence
  • Communicates through UAPS and to the Risk Management Team on various UAPS projects
  • Provides IT support as required
  • Participates on committees and working groups as assigned


  • Completion of post-secondary education in a related discipline preferred; equivalent combination of education and experience will be considered; minimum High School Diploma
  • 1 year of relevant safety and security administrative experience
  • High level of proficiency using Google Application and Microsoft Office, including Visio and Publisher
  • Experience with software such as: PowerDMS, Report Executive, PeopleSoft and Sitecore
  • Certification as an IACLEA manager is an asset
  • Knowledge of University and UAPS policies and procedures
  • Knowledge of certain legislation: Peace Officer Act, Security Services & Investigators Act and FOIPP
  • Ability to acquire a Security Clearance
  • Excellent customer service skills
  • Ability to multi-task and work under challenging time constraints
