Under the supervision of the Academic Advisor, the Undergraduate Program Coordinator is responsible for the creation, maintenance and security of over 6500 undergraduate student records. The position acts as front line advisor and liaison for current and prospective students as well as internal and external contacts, and is responsible for the accurate delivery of information about academic requirements, deadlines, resources and university and faculty procedures and policies. This position is responsible for processing applications, transcripts and other documents.

Duties

  • Acts as front line advisor with due regard to university and faculty policies including: application and convocation processes, deadlines, academic standing, deferred exams, re-exams, grades, document requests, course load, program requirements, referrals to campus and department resources, and many other requests
  • Responds to in-person, telephone, and e-mail inquiries about Faculty of Science policies from students, departments, and the public
  • Processes applications, transcripts, and other documents
  • Completes degree assessments for BSc General and Business Minor programs
  • Acts as backup Academic Advisor when necessary, including advising students during one-on-one sessions as required
  • Compiles all applications for Convocation, which includes organizing Specialization, Honors, and BSc/BEd applications for the Academic Advisors and probationary applications for the Assistant Dean
  • Organizes the review of the records of all Faculty of Science students on behalf of the Assistant Dean at the end of each academic session
  • Maintains all Faculty of Science student records and liaises with the Office of the Registrar for all records matters on behalf of Academic Advisors and the Assistant Dean
  • Processes all changes to student records, such as assessing course overload requests, blocking registration, changing minors and majors, etc.
  • Provides receptionist, clerical and administrative support as necessary

Qualifications

  • Minimum High School Diploma, preferably supplemented by two years of post-secondary education; equivalent combinations of education and experience will be considered
  • 2 to 3 years of post-secondary student administration experience required
  • Computer proficiency in a PC environment using MS Office applications (Word, Access, Excel); familiarity with PeopleSoft and FileMaker an asset
  • Excellent communication (verbal and written) and interpersonal skills
  • Exceptional organizational and time management skills
  • Attention to detail and accuracy are critical
  • Working knowledge of the University of Alberta academic policies and procedures preferred
