The Portfolio Initiatives Coordinator (PIC) coordinates processes and workflow for a number of the Office of the Provost and Vice-President (Academic)’s ongoing areas of responsibility, including academic programs, academic policy, teaching and learning initiatives and Centres and Institutes. 


  • Coordinates workflow management including: submitting, requesting, collecting and sharing feedback for review, tracking approval processes for program proposals, policies and procedures, and initiatives; processing requests for additional information
  • Tracks projects and initiatives ensuring timelines are met
  • Prepares document development plans in collaboration with stakeholders for the creation or revision of new or existing policies and procedures
  • Coordinates the cycle of review, ensures documents and policies and procedures are submitted within existing timelines, drafting appropriate supporting documents as required, liaising with other units on or off Campus throughout process
  • Provides analysis, input and strategic feedback on program proposals
  • Acts as the primary institutional contact for the Government of Alberta’s main database for academic program information
  • Maintains a database for the Centres and Institutes
  • Maintains web content related to academic programs on the Office of the Provost and Vice-President (Academic) website
  • Acts as the UAPPOL content manager for the academic portfolio
  • Coordinates events along with the Executive Assistant to the Vice-Provost related to teaching and learning initiatives
  • Supports ad hoc working groups and committees in support of teaching and learning initiatives, including but not limited to the MOOC Portfolio Management Committee and Provost’s Digital Learning Committee


  • Minimum Bachelor’s degree; equivalent combinations of education and experience will be considered
  • Knowledge of the University of Alberta and/or post-secondary system in Alberta is a strong asset
  • Project management skills and experience is a strong asset
  • Proficiency in Microsoft Office and Google Apps
  • Excellent organization, time management and communication (verbal and written) skills
