Reporting to the Assistant Dean, External Relations, the Awards and Financial Aid Administrator is responsible for, and generally manages, the efficient operation of the Awards and Financial Aid office for the Augustana Faculty. The incumbent compiles and submits annual budget proposals for approval and is responsible for the control and spending of both the department budget and awards budget.

Duties

  • Administers all aspects of the awards program for the Augustana Campus
  • Serves as a liaison with government agencies involved with student funding such as Alberta Student Finance, Alberta Learning, Alberta Scholarship Fund and Canada Alberta Service Centers and serves on university committees related to financial aid and awards
  • Responds to inquiries and advises students on financial assistance and student funding
  • Manages student records ensuring strict confidentiality and FOIPP compliance
  • Reviews and assesses applications for awards making appropriate nomination of scholarships and awards to students based on set criteria
  • Administers government funded scholarships, including receiving and reviewing student nominations and reporting to the Alberta Scholarship Fund
  • Prepares reports on activities and progress of the office; submits annual budget proposals for the unit and oversees expenditures
  • Provides information to prospective students at on-campus recruitment events and occasionally at secondary school awards nights; assists the development office with recognition events such as communications with students, invitations and award certificates
  • Compiles, updates, and maintains a procedures manual
  • Orders and ensures adequate inventories of supplies
  • Liaises with Augustana's Technology and Learning Services (TLS) and the Communications Office to provide scholarship information and updates for students on the website

Qualifications

  • Minimum High School Diploma, preferably with training in office administration and/or accounting; university degree or related post-secondary education is preferred; equivalent combination of education and experience will be considered
  • Minimum 2 years of related experience
  • Computer proficiency in MS Office (Word, Excel, PowerPoint) and Google Suite
  • Strong financial analysis and reporting skills
  • Knowledge of University of Alberta's grant and research policies and procedures is preferred
  • High level of tact and discretion; ability to maintain absolute confidentiality
  • Excellent interpersonal/public relations skills
  • Exceptional problem-solving and critical thinking skills
